Application sub-menu

The application sub-menu consists of additional features and functionality and can be accessed by clicking the bottom part of the Settings & Options button.

Backup & Restore

Opens the backup & restore window where each of the two options are displayed on a separate tab. This option requires a database connection.

  • Backup tab displays all named processes listed in the Automation sheet. By default, backed up processes are visible only to the backup user. To make a process visible to all users, select the “Public backup” checkbox prior to creating the backup
  • Restore tab lists processes backed up by the current user and those marked as public. Application keeps only the last three backups and removes older versions automatically
  • Admin users can use impersonation to access other user’s backed up processes

Process scheduler

Allows scheduling processes to run in the unassisted (RPA) mode. Such processes are executed by systems running in the virtual assistant mode.

  • To select an existing scheduled process, select it from the table
  • To add a new process, click the add button, select the process name, start & end date, execution frequency and process options and click the save button
  • Only backed-up processes can be scheduled
  • Unless impersonation is used (admin users only), only processes that are owned by the current user or those that are public can be scheduled
  • Use the “process options” settings to limit what processes can be run on what virtual assistant system. For example, secure processes with sensitive data may be setup to run only on specific systems where security is assured
  • Previous executions details of the selected scheduled process can be found below the scheduled process table

Process dashboard

Allows for creation of process charts based on the selected chart-type, parameters and date range.

Process document

Generates a process document (PDD\SDD) in MS Word (MS Word installation is required) for all visible steps.

New Excel instance

Opens a new instance of Excel that is accessible to AutomationDock’s Excel function action.

Note that by default, all Excel workbooks open in the same Excel instance and as such, when one workbook is busy (cell lock, dialog window open etc.), all other workbooks running in the same Excel instance are also paused including AutomationDock. This can result in process stoppage and therefore it is recommended to automate other Excel workbooks in a separate instance

Validate step compatibility

Validate that existing process steps are compatible with the current version of AutomationDock.

Share (global) variables

Displays the shared variables editor.

  • Allows the user to create global variables directly in the system (stored in the database). Global variables can be shared with other users and processes
  • Variable group window
    • Use the main window to select an existing global variable group or select an empty row to add a new variable group
    • Click the details button (icon in left bottom corner) to open individual variables that are a part of the selected variable group
  • Variable detail window
    • Use this window to set the variable group name and to add individual variable names and values
    • To make a variables available to other users, select the “Public variables” checkbox in the detail window

Temporary (loaded) variables

Displays the variables and their values used in previously executed process. Temporary variables are available only in the test mode when running a process in the “Run with previous variables” mode.

Virtual assistant in protected mode

Disables mouse & keyboard in virtual assistant mode – Do not use in VNC.

Virtual assistant AutoStart

Automatically start virtual assistant when Excel opens.

Java automation

Enables Java application automation.

Voice recognition

Enables the voice recognition and speech assistant.

  • All voice commands must end with “KAIA” (Knowledge-base Automation Intelligence Assistant). For example, “Run process Kaia”
  • Voice recognition requires proper setup and optimization of the Windows voice recognition engine

Voice commands

Lists the commands available with voice recognition. Voice commands can be used for executing and building a process.

Disconnect

Disables AutomationDock functionality with the following impact:

  • Allows for unlimited manipulation with the Automation sheet including multi-row updates
Note that improper manipulation of the Automation sheet may impact the automation steps and the redirection rows will not be automatically updated when a row is inserted or deleted
  • Allows other users to use AutomationDock when the concurrent-user license type is used
